Creating a Manual Appointment


Log a booking on behalf of a customer directly from your calendar — useful for walk-ins, phone bookings, or recurring arrangements.


How to create a manual appointment


  1. Open the Calendar tab and tap New Appointment.
  2. Search for and select the Client. If they're not in your list yet, add them first.
  3. If the client has a vehicle on file, select it from the Vehicle picker.
  4. Select a Service. If the service is a bundle, also choose the specific Option.
  5. Pick the Date and Start time. The end time is calculated automatically based on the service or option's duration.
  6. If the selected time overlaps with an existing booking or blocked time, a time conflict warning will appear. Review the conflict details, and if you still want to proceed, tick "I understand — save anyway."
  7. (Optional) Add a Note with any extra details.
  8. Choose how often this should repeat:
  • Does not repeat — a one-off appointment
  • Every day
  • Every week
  • Custom days — pick specific weekdays
  1. If repeating, set a Repeat until date.
  2. Tap Save Appointment (or Save Appointments if recurring).


Tips


  • Manual appointments respect your bay capacity — if all bays are full at the selected time, you'll be warned before saving.
  • Adding a client's vehicle isn't required, but it helps keep accurate job history.
  • Recurring appointments create multiple calendar entries at once, saving you from re-entering the same booking each week.
